KOA / PILOT

Start with one gym.
Take every step properly.

Agree the scope, walk the whole workflow, then decide from what actually happened. There is no expansion plan waiting in the background.

01 / THE PATH

Four steps,
each with an outcome.

  1. Agree the scope

Choose the site, the roles and the daily tasks to walk through. Write down what is in and what is out.

  2. Prepare the workspace

Work out accounts, role permissions and how member data is handled, and who owns each before anything is configured.

  3. Walk the workflow

From a member's programme and logged sets through to a staff follow-up task and its recorded outcome.

  4. Review, then decide

Discuss what was actually used, where it stuck and what support was needed, then agree an adjustment or an extension.

02 / PILOT SCOPE

What we can show,
and what we cannot.

Both lists are confirmed again before a pilot starts. The second is not a roadmap promise — it is where the boundary sits today.

Demonstrable today

  • Member app: programme, set-by-set logging, history and muscle split
  • Staff workspace: due tasks, member context, service catalogue
  • Locations and roles: a workspace per site, fields shown by role
  • Follow-up: open, read the context, contact, record the outcome

Planned, or not offered

  • Churn, retention or revenue analysis
  • Automatic follow-up, automatic selling or automatic service recommendation
  • Movement recognition, posture or injury inference
  • Equipment QR codes, payment or door-access integrations
  • Cross-location roll-up reporting
  • AI programme generation or an LLM coaching chat

03 / WHO DOES WHAT

Set the expectations
before the start.

01

Contacts

Each side names one owner for configuration, day-to-day questions and running the review.

02

Data

Decide before the pilot which data is used, who maintains it and what happens to it at the end. We will not decide that for you.

03

Support

Response route and hours are agreed up front. There is no 24/7 commitment, and it is not written into the default terms.

04

How it ends

A pilot has a review date. Continue, adjust or stop is decided there, not assumed.
